Mandatory Stall Construction SOP & Security Deposit – TECH VAPI 2025

As we move toward stall possession and setup activities, this is an important reminder to follow the official Stall Construction SOP to ensure a smooth and safe execution at the exhibition venue.

📌 Please note the following actions are mandatory:

✔ Stall Final Design Approval

Exhibitors must get their stall design approved by the organiser before construction begins. Please instruct your designer to submit the design for approval to avoid delays or compliance issues.

✔ Stall Designer Security Deposit

All external/third-party stall designers must submit a refundable Security Deposit (minimum ₹15,000 — varies as per stall count) via NEFT/RTGS in favour of TECH VAPI.
Possession will not be given without this deposit.

✔ Forfeiture Clause

• Please note : If the stall designer fails to dismantle the stall structure and remove all stall materials from the venue premises on or before 22nd December 2025, the security deposit of ₹15,000/- (or applicable amount) will be forfeited without refund.

✔ Extra Power Requirement

Bare space exhibitors must apply for extra power (1–3 kW) Rs. 3000/- chargeable basis.
This is essential for machinery, lighting, demo units, and fabrication work.

✔ Venue Operating Rules

• Maximum stall height: Back wall – 8 ft, Front fascia – 12 ft
• No stall work allowed during Blank Day: 17th December (after 12 PM)
• Dismantling permitted only on 21 December
• Vehicle entry only post event hours; Hydra/Forklift services available at actual cost

✔ Material Movement Policy

• Heavy vehicles are not allowed inside the venue
• All heavy material must be unloaded at Gate 2
• Movement to stalls only via Organiser’s Transit Services (Hydra/Crane) on paid basis
